[About Us] Event Guidelines for the Japan Neuroscience Society

(Purpose)
Article 1
These guidelines stipulate necessary matters for events involving the Japan Neuroscience Society (“the Society” or “JNS”). Different guidelines apply depending on whether JNS will “Organize,” “Co-organize,” or “Endorse” an event or “Cooperate” with or “Collaborate” on an event.
(Definition)
Article 2
Terms as used in these guidelines are defined as follows.
Organize The Society performs the main role in holding an event and bears full responsibility for the event.
Co-organize For an event in which two or more organizations, including the Society, perform main roles in holding the event (collectively “co-organizing organizations”), the Society jointly organizes the event. The co-organizing organizations shall, from the beginning of the planning stage, discuss the content, operation, cost sharing, and other matters of the event.
Cooperate The Society agrees with the purpose(s) of an event, in which one or more third-party organizations perform the main roles in holding the event, and provides support and assistance for the event; the organizing third-party organization(s) shall bear full responsibility for all aspects of the event from planning to implementation, and the Society approves the use of its name as a cooperating organization. Cooperating with an event may involve a cost burden by the Society.
Endorse The Society agrees with the purpose(s) of an event, in which one or more third-party organizations perform the main roles in holding the event, and provides support and assistance for the event; the support and assistance shall be limited to authorization of the use of the Society’s name for the event.
Collaborate The Society agrees with the philosophy of CSR (corporate social responsibility) events or other activities, in which one or more third-party organizations perform main roles, and provides support and assistance for the activities. Collaboration shall not involve any cost burden.
(Decision to Organize)
Article 3
If an event is to be Organized by the Society, the person who will plan the event shall request discussion at and obtain prior acceptance by the executive board.
(Requests to Co-organize, Cooperate, Endorse, or Collaborate)
Article 4
When the Society requests for other organizations to Co-organize, Cooperate, Endorse, or Collaborate an event, the person who will plan the event shall request discussion at and obtain prior acceptance by the executive board.
(Approval to Co-organize, Cooperate, or Endorse)
Article 5
AWhen the Society receives any request from other organizations to Co-organize an event, the Society’s executive board will discuss and approve the request in accordance with the criteria as set forth below.
  1. When the Society receives requests to Cooperate with or Endorse an event from other organizations, the Director of General Affairs shall authorize them in accordance with the criteria as set forth below, and report these decisions to the executive board after the fact.
(1) Requests to be approved shall be:
  1. deemed to contribute to the development of neuroscience and human capacity;
  2. deemed to be of public interest;
  3. made by requesting organizations that are, in principle, academic organizations, public offices, or their equivalents; and
  4. deemed beneficial to members of the Society.
(2) Requests that cannot be approved are:
  1. deemed to pursue commercial profit, solely aiming at benefitting a few, for example, promoting advertisement of a specific company;
  2. deemed to be operated in an unfair manner;
  3. deemed to have extremely limited audiences; or
  4. deemed to be inappropriate in light of the purpose and content of JNS's business
(Approval of Collaboration)
Article 6
When the Society receives a request for Collaboration from other organizations, even if the requesting organizations are privately operated, the executive board can discuss and approve the request if the subject matter of the proposal is academic in nature or of a public interest.
(Requests to Co-organize, Collaborate, Endorse, or Collaborate)
Article 7
When requesting the Society to Co-organize, Cooperate, Endorse, or Collaborate an event, the requesting organization shall submit an application with the following information to the JNS Secretariat in advance for each project.
  1. Event name;
  2. Name of the requesting organization;
  3. Name of the representative;
  4. Purpose and timing the event;
  5. Address and phone number; and
  6. Contact information (name of contact person, phone number, email address).
